Managing Your Inventory Usage

Recording of goods used is important as it updates the Inventory register to let you see accurate stock levels at any point in time. It also updates the management reports and when stock levels fall below the minimum level set for reordering for an item a low stock notification appears in the private catalogue/basket.


There are three ways to record usage:

Using the App


  • Open the App on your mobile or tablet and click on the Stock area.
  • Locate the item either by browsing the list or using the search box.
  • If you have QR codes set up and displayed in your stock area you can scan the QR code of the item being used by clicking the scan button in the top right corner of the app. The stock item will then appear on your app and the Use button can be clicked to record usage.
  • Click the "Use" button to record usage, capturing user details, location, and date/time.

Recording Goods Used from Mini Stock Counts

Conduct a stock count, especially suitable for managing small numbers of stock. A good example is the managing of NHS Prescription reimbursements of administered items in a non-dispensing surgery.


This method is a simple and fast way to establish stock usage and avoids the problem of someone forgetting to record an item when used or taken from stock. 


To record the stock count, either a physical stock count using stock count sheets can be used, or the App can be used to record the stock quantity. 


If recording with stock count sheets, these can first be printed using the Stock Count report, and then the quantities updated later to the Stock Count Report. 


Alternatively the App can be used to record a stock count. Just open the Stock area on your App, select a stock item and instead of clicking the Use button, click the Set button. This displays a popup where the stock quantity is entered into the box above the second Set button. The Set button is then clicked to record the stock level.

Manually Recording Goods Used

You are also able to use your Online account and the Inventory Register to find and record usage. The search box can be used to enter the stock name, or the inventory list scanned to find the item. Once found you can click on the item, select the location, to see the stock at that location, and click the – minus sign to record usage:
