Asset Register and Tasks

The Asset Register is automatically updated from purchases of medical equipment over £99.99 in value along with user manuals, supplier information, and service task templates. Your Asset Register can act as your permanent log of activities connected to each Asset.

Asset Management and Task activities can also be carried out with your Surgery Network app. Activities such as viewing Asset details, reading Task instructions and recording task completion notes can all be done remotely. Tasks can also be assigned to outside service providers so you have a centralised facility for recording all activities including maintenance, cleaning, PAT and Calibration work.

There are two levels of access to the Asset and Tasks Registers, a standard version which is free to all, and an advanced version for which there is a charge.

• Record and track all aspects of an asset's life cycle, from purchase through to disposal as well as service and calibration history.
• Documents including warranty certificates, guarantees, purchase invoices and calibration and service certificates can be stored in the asset's library.
• Historical information including details of the supplier, manufacturer, manufacturer key support contacts and more can be maintained.
• Assets can be attached to specific individuals.
• Numerous audit reports are available by asset or individual and highlight service completions and overdue activity.

The Task Register interfaces with the Asset Register and allows tasks to be assigned and completion activity monitored. Key features:

• Repeating Tasks can be created with automatic reminders and completion notes to provide an audit trail of activity.
• Special reports highlight Completed, Due and Overdue Tasks as well as Assets with unassigned cleaning and service tasks.
• Tasks can be attached to specific individuals, with activity reports by asset or individual.
• Automatic timestamps record activity and completion comments.

The most important advanced feature allows you to manage your Assets and Tasks across multiple locations.

Other features include:

• Unlimited ability to add any number of assets regardless of whether they are purchased through the system or elsewhere
• Unlimited ability to add tasks, regardless of whether or not they are attached to an asset
• Personalised Task templates can be created
• Tasks can be assigned to any user, including staff and outside contractors
• Automatic Task notifications can be sent: 1) when a task is assigned; 2) as a reminder on the day of task completion; and 3) as a follow up reminder in seven days if the task remains not completed.

Task activities can be used for managing a range of activities, not only those connected to asset management and servicing. For example:

• Annual staff registration activity can be managed such as Nurse NMC and GP GMC registrations, staff Hep B immunisations, DBS checks, PGD document updates and more.
• Nurse refresher training reminders for imms and smear updates, BLS, Child and Adult Safeguarding registration updates
• Annual appraisals can be scheduled and completions recorded.
• Legionella sampling, H&S risk assessments, Fire safety checks, defib checks, oxygen checks, fridge checks and more can all be scheduled and completion activities and certificates properly documented.

Many assets require regular servicing and maintenance and over the years we have discovered that service and calibration overcharging is common and costly. Some service providers try to justify their excess fees is by providing a free Asset Register. Unfortunately, however, their Asset register can only be used with their service and calibration activities and if you use another provider your asset and task history, and documents are lost.

To address this, we have created the Asset Register and Task Manager. It can be used for recording activities across multiple service providers so you are always in a good position to take advantage of the best the market has to offer. All documents, activities and tasks completion records can also be downloaded in electronic format or printed for recording in hard copy.
